Terms of Reference Admin Intern (ICT) Admin/Finance Unit UNHCR, the UN Refugee Agency, is offering an Internship within the Admin/Finance team in our UNHCR, Representation in Italy, The Holy See and San Marino. The position is primarily intended to provide the intern with the opportunity to undertake a work experience related to university studies or to possible future careers. Secondly, it is meant to provide assistance to Admin Assistant (ICT) and to the rest of the Admin team on basic supply tasks (supplier sourcing). Title: ICT Internship Duty Station: Rome, Italy Duration: initially for 6 months, with the possibility of extension up to 8 months Contract Type: Internship Closing date: 1 March 2020 at 23.59 Start date: As soon as possible Duties and responsibilities Under the supervision of the Senior Finance Associate, the intern will be asked to perform the following activities: • Provide support on mobile phones: connection and data issues, outlook setup, configuration issues; • • Support in drafting procedures for recovery of mobile expenditures; Support in downloading mobile and landline itemised reports and follow up with involved staff; • Liaise with Admin focal point to insert deductions related with provide mobile/landline phone calls; 1 • Support on laptops and desktops, configuration issues and software installation and set-up; • • Support on WIN 10 upgrade; Support on common drives decommissioning and transition to existing data storage applications (e-safe/sharepoint); • • • Support staff on vide/call conferences requests through WebEx or Phone bridges; Support staff on reserving meeting rooms and drafting related instructions; Liaise with cleaning/security focal points to take action in relation to recommendations provided by Admin Staff Officers; • • • Support in re-organization of archive and storage room; Daily troubleshooting for ICT issues/problems (including printing service devices); Support for physical check of STI and consumables (stationery, smartphones, IP phones); • • Support staff providing and recuperating laptops for missions; Support Admin Staff and Travel team in sourcing suppliers, collecting quotations (also through web) and market surveys; • • Support on maintaining up to date staff list in outlook; The intern will be trained, coached and supported in his/her work. Essential minimum qualifications and professional experience required • Be a recent graduate (persons who completed their studies within one year of applying for an internship with UNHCR) or a current student/undergraduate school programme from a university or higher education; • Have completed at least two years of undergraduate studies in Economics, Information Management, Computer Science, or related areas; Fluency in English and Italian language; Have interest in humanitarian and international cooperation fields; Previous relevant working experiences is an asset; Excellent knowledge of English; • • • • • • Excellent knowledge of Italian; Flexibility and ability to work automounsly. Location The successful candidate will be based in Rome with the Admin/Finance team in the UNHCR Representation in Italy, The Holy See and San Marino. Conditions Interns who do not receive financial support from an outside party will receive a Food and Local Transportation Allowance which will be the equivalent of 10% of the Daily Subsistence 2 Allowance (DSA) of the duty station and be based on 30 calendar days. It must not exceed the equivalent of USD 1000 per month, normally payable in local currency. Then the agreed internship is not full-time, the Allowance will be adjusted accordingly.
