Administrative Project Manager

At Department of Business and Management we are looking for an Administrative Project Manager to assist the Project Coordinator of the H2020-MSCA-ITN (Marie Sklodowska-Curie Actions Innovative Training Network) European Project “Legitimation of Newness and Its Impact on EU Agenda for Chang” (LNETN) which is granted for 4 year starting January 1 2020. The start of employment is 1 July 2020 or soon thereafter and is limited to 31.12.2023. The position is 37 hours per week.


Job description
LNETN timely sets up a unique, innovative quadruple-i research and training network within social sciences and economics, with applications in science, engineering, technology, health and humanities to provide a high quality quadruple-i research platform for the training of 15 ESRs in legitimation of newness and theory building focusing on interpretation and understanding of complex phenomena in ways which will transform effective decision making and policy implementation and contribute to economic development.

The overall objective and main objectives of the LNETN project are fulfilled by the following specific research objectives:
• link the dimensions of sustainability to the discussion of tomorrow’s leadership and organisation, connected to a discussion of qualitative and ethical organization;
• generalise into a widely applicable theory/policy/practice and provide high quality research data on how new industries and ventures gain legitimation;
• evaluate innovative structural and operational organisational typologies and identify best practices;
• create a substantial, path-breaking direction for studying newness in seemingly opposing social and ethical settings.

The Administrative Project Manager will contribute to the achievement of the above project objectives (for more information about the LNETN project visit www.lnetn.aau.dk). The Administrative Project Manager will be part of the secretariat project team within the Department of Business and Management of Aalborg University.

About you
It is expected the Administrative Project Manager will be a good team player in an international and multicultural environment; able to demonstrate and exercise proactivity, problem-solving, independent judgement, initiative and action; able to manage, plan, coordinate and oversee the development, implementation and exploitation in a timely manner of all project activities and results.

Administrative Project Manager Duties
The duties of the Administrative Project Manager will be to:
• Ensure the link and facilitate exchanges, cooperation and coordination between the 15 ESRs (PhD students), e.g., through dedicated web tools
• Organise multiple partners training PhD workshops and courses
• Manage the day-to-day operational tasks, e.g., organisation of project meetings (agenda, minutes, venues, speakers, travels, stay), training weeks, sessions and secondments for the 15 PhD students
• Have a clear picture of the project's deliverables, timelines and milestones, to ensure coordination among partners and timely delivery of project outputs
• Monitor project deliverables, milestones, periodic reports and schedule, to ensure a proper coordination among partners and timely delivery
• Facilitate the communication between the project’s beneficiaries, academic and non-academic partners and ESRs
• Manage and contribute to the dissemination of LNETN results and updates of the website

Experience, knowledge and competencies required
• We are seeking a dynamic person – ideally with skills in EU project management and administrative procedures related to the implementation of H2020 projects
• The candidate should demonstrate capacity in team work in an international and multicultural environment
• Excellent communication skills (written and oral) in English are essential, and the candidate must be able to demonstrate their English language skills (e.g., written evidence might be in form of project reports, project applications, other publications in English)
• Good organizational and analytical skills and ability to meet strict deadlines will be essential
• Enthusiasm for working collaboratively in team
• Proactive, flexible and problem-solving attitude
• Fast learner that requires minimal supervision
• Strong attention to process, detail and documentation
• Willingness to travel within Europe is required
• Knowledge of the grant management and monitoring tools at EU will be a plus
• Knowledge of the grant management and monitoring tools at Aalborg University (SyGMa, ØSS, QlikView) would be a plus
• A supplementary experience in a research project management (preferably MSCA-ITN) would be a plus
• A basic notion of Danish will be a plus

The position is based at Aalborg University in the city of Aalborg, Denmark. It includes day-to-day work in close relationship with the Project Coordinator, Project Financial Controller, ESRs, project beneficiaries and partners, and the AAU Financial Department.

Løn og ansættelsesvilkår

Salary and employment conditions in accordance with the OAO-S Joint Agreement, organizational agreement for office clerks and others. It is possible to negotiate qualification-base supplement according to qualifications.

The position is subject to a mutual three month probationary period.
