As a Student Assistant - Front Office, which is part of the People team, you will play a vital role in helping us deliver and maintain efficient, reliable and high-quality service for your colleagues and external stakeholders.
Your Role
In this role, you will be part of an effective team working to deliver structured and consistent front office support. You will coordinate with colleagues across corporate functions and teams to ensure seamless operations and positive outcomes in office administration, visitor handling, and practical front desk coordination at our head office in Hellerup, Tuborg Havn.
Our reception is open daily from 8:30-16:00 and we expect that you will work around 10-15 hours per week within this timeframe.
Key Responsibilities
- Greet visitors at the front office and manage day-to-day reception activities in a professional and structured manner.
- Handle incoming calls, messages, and general inquiries, and route them to the relevant colleagues or departments.
- Preparing and coordinating meeting rooms, assisting with practical arrangements, and helping maintain an orderly office environment.
- Maintaining kitchens, fill up coffee machines and dishwashers, clean up after lunch meetings.
- Ensure storage rooms are kept organized and tidy.
- Complete administrative front office tasks such as registering deliveries, handling mail, and updating basic records and schedules.
- Undertaking ad hoc tasks related to the reception.
Your Profile
We are looking for a student assistant who is service-minded and thrives in a global, collaborative environment and can bring relevant administrative skills to the team.
To perform well in this role, you bring/are
- Currently enrolled in a professional bachelor's or similar education program relevant to office administration, business support, or service coordination.
- Communication skills both in written and spoken Danish and English.
- Proactive and reliable.
- Familiar with Microsoft Office applications.
- Experience or demonstrated ability to manage front office administrative tasks such as scheduling, updating records, handling mail, and coordinating routine office activities accurately.
- Flexibility to work regular weekly shifts during standard business hours to support front office coverage and sometimes with short notice.
