Role purpose
We are looking for an HR Business Support Intern to join our Italian HR team and provide hands-on support across Recruiting and day-to-day HR Operations. The role will have a strong focus on Recruiting, not only supporting current vacancies but also helping us develop a more proactive approach to talent acquisition. A key objective will be to build and maintain candidate pipelines, particularly for profiles that are frequently required by the business, so that we can respond quickly when new customer projects or business needs create additional hiring requirements.
The remaining part of the role will support the operational and administrative activities connected with the employee lifecycle, helping ensure that HR processes, systems and documentation are accurate and up to date.
The position will be primarily based in Pero (Milan), with occasional presence in our Latina office to develop knowledge of the local organization and labour market, strengthen relationships with managers and employees, and support local recruiting activities.
Recruiting & Talent Pipeline - approx. 60%
- Support the full recruiting process for junior and mid-level positions, from job posting to candidate follow-up.
- Publish and maintain job advertisements across the relevant recruiting channels.
- Proactively source potential candidates rather than relying only on applications received for open vacancies.
- Screen CVs and conduct initial phone screenings / preliminary interviews, collecting information on experience, motivation, availability, salary expectations and other relevant elements.
- Build and continuously maintain candidate pipelines for recurring and business-critical profiles, with particular attention to the Latina area.
- Maintain contact with potentially interesting candidates even when there is no immediate vacancy, keeping the pipeline active and updated.
- Develop an understanding of the local talent market and support in the relation with potential recruiting channels, schools, universities, ITS and other sources of candidates.
- Keep candidate information, recruiting trackers and HR systems accurate and up to date.
- Prepare concise candidate summaries and share suitable profiles with Hiring Managers.
- Manage the logistics of the recruiting process: interview scheduling, calendars, confirmations, rescheduling and coordination between candidates and Hiring Managers.
- Follow up systematically with Hiring Managers to obtain feedback and keep selection processes moving.
- Maintain regular contact with candidates throughout the process, including when timelines are longer, to maintain their engagement and avoid losing potentially suitable profiles.
- Support candidate communications, including interview invitations, follow-ups and process updates.
- Support the preparation of offers and collection of the information and documentation required for hiring.
- Maintain recruiting data and provide basic reporting on vacancies, pipelines, candidates and recruiting activity.
HR Operations & Administration - approx. 40%
- Support the administrative management of the employee lifecycle, including hiring, onboarding, contractual changes and terminations.
- Collect and check the documentation and information required for new hires, interns and departing employees.
- Support in preparation of standard employment documentation, letters, forms and communications using approved templates.
- Prepare first-day documentation and coordinate the operational aspects of onboarding, including follow-up with managers and the other functions involved.
- Support offboarding activities, ensuring that the relevant documentation, systems, information and internal stakeholders are properly aligned.
- Maintain employee information in Talent Manager and other HR systems, trackers and internal files, ensuring consistency and accuracy of data.
- Support the monthly attendance management process, checking attendance records, identifying anomalies or missing information and following up with employees/managers before information is finalized for payroll.
- Collect and organize information and documentation required by the payroll provider and support routine payroll-related follow-ups under the supervision of the HR Manager.
- Support the administrative management of sickness documentation, leave and other attendance-related matters.
- Maintain personnel files and HR folders, ensuring that documents are correctly filed and easily retrievable.
- Support the administrative coordination of medical surveillance, mandatory training and Health & Safety documentation, including collection and tracking of required documents and deadlines.
- Support the operational administration of meal vouchers, welfare, pension fund and employee benefits, including collection of information and standard follow-ups.
- Support the preparation and updating of HR trackers, organizational information, basic reports and recurring HR data.
- Support the organization of HR meetings, internal initiatives and company events.
- Handle straightforward employee administrative requests and direct more complex or sensitive matters to the HR Manager.
- Support in all HR related process as pay review, training, global processes
What we are looking for
- University student or recent graduate interested in developing a career in Human Resources, with a particular interest in Recruiting.
- Good organizational skills and ability to manage several activities and follow-ups simultaneously.
- Comfortable speaking with candidates and interacting with different stakeholders.
- Accurate and reliable when working with data and documentation.
- Proactive attitude and willingness to follow activities through to completion.
- Good knowledge of Microsoft Office, particularly Excel and Outlook.
- Good English communication skills.
- Availability to travel occasionally to Latina.
Expected development during the internship
During the internship, the person should progressively become able to independently manage the operational side of standard recruiting processes and maintain an active candidate pipeline, while also becoming a reliable point of support for recurring HR administrative activities.
Allowances & Benefist:
€1,000 monthly internship allowance + €7.50 meal voucher for each working day.
