Office & People Coordinator (part-time)
BetaDwarf
Office & People Coordinator (part-time)
At BetaDwarf, we're on a mission to create games that build lifelong friendships. We've been pursuing that dream ever since a group of us famously squatted in a university classroom to start the company, and while we've upgraded our office situation since then, we've tried to keep the same spirit of adventure, camaraderie, and ambition alive. Today, we're an international team developing our next big co-op adventure: Vaultbreakers.
We're looking for an organized, proactive, and people-loving Office & People Coordinator to help make BetaDwarf an even better place to work. You'll be the person who helps keep our studio running smoothly behind the scenes, and making sure our team feels welcomed, supported, and connected, whether they're working from our Copenhagen office or remotely from elsewhere.
This is a part-time position of approximately 20 hours per week, with flexible scheduling Monday–Friday.
What you'll be doing
As our Office & People Coordinator, you'll work closely with our Business Administrator to help keep BetaDwarf running smoothly.
Your responsibilities will include:
- Coordinating day-to-day office operations and helping ensure the studio runs smoothly
- Supporting HR administration, including onboarding and offboarding employees and contractors.
- Preparing materials for company meetings, including All Hands and Board meetings, and helping coordinate agendas, reminders, and follow-ups
- Coordinating employee travel, accommodation, and other practical logistics
- Acting as the primary point of contact with our office hotel and external service providers
- Keeping the office organized, welcoming, and well-stocked, including coordinating supplies, deliveries, and facilities requests
- Planning social events, Friday bars, celebrations, company outings, and team gatherings
- Finding creative ways to strengthen connections across our hybrid and remote team through social initiatives, online activities, and shared experiences
- Helping improve the overall employee experience by identifying opportunities to make BetaDwarf an even better place to work
- Supporting management with a variety of administrative and operational tasks as needed
Who you are
You don't necessarily need experience from the games industry. What matters most is that you enjoy bringing structure to busy days, helping people, and creating an environment where everyone feels welcome and connected.
We imagine that you:
- Have some experience in office coordination, executive assistance, administration, HR support, operations, hospitality, or a similar role
- Are highly organized and enjoy bringing structure to a dynamic work environment
- Can comfortably manage multiple priorities, coordinate meetings, and keep track of follow-ups
- Have excellent communication skills in English, both written and spoken
- Enjoy working with people and creating a positive employee experience
- Are creative and proactive when it comes to building culture and strengthening connections across a hybrid and remote team
- Take ownership, solve problems, and aren't afraid to roll up your sleeves to get things done
- Are comfortable working independently while collaborating closely with colleagues across the studio
Bonus points if you:
- Have experience supporting hybrid or remote teams
- Have organized social events, communities, or internal initiatives
- Have experience with HR administration or office management
- Enjoy games and geek culture
What we offer
- A flexible part-time position of 20 hours per week
- A friendly and ambitious international team in Copenhagen and around the world
- Social events, Friday bars, and team activities
- Daily lunch buffet (with vegan & vegetarian options)
- A workplace where friendship and ambition are both taken seriously
If this sounds like your kind of adventure, we'd love to hear from you. This role could also be a great fit for a master's student with relevant experience in office administration, HR, operations, or event coordination.
