Student Assistant – Science & Programmes

About ICARS
ICARS is an autonomous, self-governing, non-profit international organisation established by the Danish Government and overseen by the Danish Ministry of Foreign Affairs. Funded by the Danish Government, alongside institutional donors and foundations, ICARS supports low- and middle-income countries in developing and implementing sustainable solutions to address antimicrobial resistance (AMR). Through close collaboration with governments, research institutions, and global partners, ICARS helps bridge the gap between research, policy, and implementation.

About the position
You will support administrative, analytical, and practical tasks that vary from week to week. In this role, you will collaborate closely with ICARS’ Science and Programmes Administrative Assistant. You will also help coordinate internal and external events and activities linked to the Science and Programmes Department and ICARS.

Your tasks will include:

  • Providing administrative and coordination support to the Science and Programmes Department. Developing and maintaining resources on the ICARS intranet.
  • Administrative support for Science and Programmes Director and Heads of Units
  • Supporting the planning and delivery of meetings, workshops, webinars, and other events, including logistics, calendar booking, registrations, catering, and digital platforms.
  • Maintaining internal documentation, archives, and shared resources in line with ICARS procedures.
  • Supporting review and updating of standard operating procedures (SOPs), guidance documents, templates, and other internal resources.
  • Preparing presentations, reports, and communication materials using digital and AI-supported tools where appropriate.
  • Assisting with travel administration, processes, and other operational activities.
  • Identifying opportunities to improve administrative workflows and support the department with technology-enabled solutions.
  • Providing practical and ad hoc support across ICARS as needed.

Your background and experience
To be considered for this position, you should be enrolled at a university in the Greater Copenhagen area, have completed at least one year of your studies with at least one year remaining before graduation.

Preferably, you are currently pursuing a degree in Business Administration, Public Administration, Project Management, Business Management, Information Technology, International Relations, Global Health, International Development, or another relevant field.

To succeed in this position, you must be structured, independent, good at cooperating with interdisciplinary teams, experience in using IT tools and be service-minded.

You have excellent written and spoken English proficiency.

Working at ICARS
We offer an exciting opportunity to join a new organisation. ICARS has a diverse group of staff members composed of approx. 50 staff representing more than 20 different nationalities. As our student assistant, you will gain a unique insight into an organisation handling intervention and implementation research on a global level. Our team is composed of enthusiastic international pioneers that believe in ICARS’ mission and is highly motivated to ensure its success.

We are based at Statens Serum Institute in Copenhagen, Denmark.

Terms of employment
The position is covered by the terms of the collective agreement between The Danish Finance Ministry and the Organisation for Salaried Employees HK/Stat (Organisationsaftale for kontorfunktionærer, laboranter og it-medarbejdere (HK)), according to chapter 6 in the agreement concerning hourly paid employees.

This is a part-time position of 15 hours per week. The hours are flexible, and exam periods can be taken into consideration.
