Your team You will be part of the Information Governance Division in the Directorate General Secretariat. Our Division has around 60 staff members who aim to deliver state-of-the-art knowledge management services and solutions to ECB staff, guarantee high-quality, compliant and AI-ready knowledge assets, and advise, train, support and engage end users to work with our tools consistently and independently. This work ranges from records and archives management to providing information about and functional support for the ECB’s information management systems. You will be joining the Division at an interesting time. We are currently automating and digitalising business processes, engaging in AI activities and exploring innovative technologies.

In your role as a trainee, you will be part of a dynamic team responsible for advising and supporting ECB users on information and knowledge management, functional issues, collaboration practices and business process automation. You will also be involved in knowledge management initiatives and other tasks aimed at bringing added value to the ECB. You will work closely with the Division’s staff and key contact persons for all the ECB’s functions and operations.

The ECB is an inclusive employer, and we strive to reflect the diversity of the population we serve. We encourage you to apply irrespective of age, disability, ethnicity, gender, gender identity, race, religious beliefs, sexual orientation or other characteristics.

Your role As a trainee you will:

  • contribute to the Division’s innovative information and knowledge management projects and activities;
  • contribute to the design and development of business configurations in the ECB’s information management systems by conducting business analysis, collecting requirements, and performing testing and change management activities;
  • support and maintain the ECB’s information management policies and procedures, as well as develop in-house training material.

This traineeship offers you an excellent opportunity to obtain experience in providing information and knowledge management services at a major institution and to gain insight into the ECB’s activities. You will be part of a multicultural team that strives for continuous innovation to make a positive impact on the lives of European citizens.

Qualifications, experience and skills Essential:

  • a bachelor’s degree or higher in information science, computer science, knowledge, archives and/or records management, librarianship or business administration; alternatively, if your first degree is not in one of these fields, a postgraduate diploma, master’s degree or higher qualification – or enrolment in a postgraduate course – in any of these disciplines;
  • awareness of the role and functioning of the ECB;
  • a good knowledge of the MS Office package, in particular Word, Excel, PowerPoint and Outlook;
  • an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.

Desired:

  • a sound understanding or working knowledge of (i) enterprise content management systems, such as OpenText Content Server and Microsoft SharePoint, (ii) Microsoft collaboration tools, specifically Teams and OneDrive, and (iii) wiki tools;
  • knowledge of AI trends and technologies, and Large Language Models;
  • a basic understanding of (i) web technologies, such as HTML and CSS, (ii) Python or (iii) online public access catalogues or digital preservation software, such as Preservica.

You are curious and eager to learn, and want to further develop your ability to analyse complex information. You are keen to collaborate with others, pursue team goals and learn from other people’s diverse perspectives. You strive to know and anticipate stakeholder needs, and will signal any need for change and propose alternative solutions.

You are motivated to contribute to the ECB’s mission, to serve the citizens of the EU as a member of a public institution and to work with colleagues from all over Europe. You are keen to be part of our team and to use your skills and competencies to achieve the aims of this position.
