Academic Assistant in Central Academic Administration
DIS Copenhagen is seeking an Academic Assistant to assist with a wide range of academic administrative tasks. The successful candidate will work directly with staff and faculty on a daily basis, students facing tasks are more sporadic. The Academic Administration consists of 12 people from program specific departments, and 4 academic assistants. This team works to make each semester run as smoothly as possible by providing academic support and streamlining processes in collaboration with DIS faculty and other academic staff. The new colleague in our team will get a special affiliation to fields of relevance to your educational background. Your knowledge will be strengthened through work and many talks with DIS faculty, and you will gain essential experience which can guide you to make the right decisions for your future career paths.

You will have the opportunity to take ownership of your own tasks, daily operational tasks are a big part of this job, and you will become excellent at time management. Our services and tasks are constantly improving and with the right mindset you can contribute to impact what we do. You come with at least basis office skills from a student job, or summer job, and this position will sharpen your office skills even further and develop you.

Responsibilities

  • Assist in logistical and administrative planning for the academic semester such as scheduling meetings, preparing relevant materials, and communicate with internal and external relevant staff/contacts.
  • Serve as a point of contact and support for faculty and staff, via phone, email, and in person
  • Assist in executing student events, workshops, and seminars across DIS
  • Co-lead DIS study tours, provide logistical support for the faculty and students
  • Distribute communications and important updates to DIS faculty
  • Cross-checking of syllabi and study tours itineraries
  • Assist with faculty development seminars and work with the DIS Faculty and staff in the Learning Lab
  • Support the coordination between academics, the Student Hub, Library Services, and Study Tours
  • Assist the Head Librarian in peak periods

Who are you?

  • A DIS alumnus or alumna who has completed a Bachelor’s degree
  • Appreciation of administrative tasks
  • Highly flexible mindset and adaptable to change
  • Ability to multi-task, while understanding, maintaining, and meeting deadlines
  • Thrive in a fast-paced, dynamic organization
  • Organized and able to prioritize tasks as needs change
  • A team player in a dynamic and collaborative environment
  • Service-minded and innovative, with a self-motivated and dedicated work ethic
  • Desire to produce high-quality work, while also reflecting upon and learning from mistakes that occur along the way
  • Basic office skills, from before is an advantage
  • Basic Microsoft Office skills (Outlook, Teams, Excel and Word)
