Your team The various business areas of the European Central Bank (ECB) regularly need management assistants and business process assistants for periods of three to 12 months to cover staff absences or to work on engaging and interesting short-term projects.

We are currently creating a pool of candidates for future short-term contracts. If you are successful and selected from this pool, you will be expected to be available to start working in Frankfurt am Main, Germany at short notice, e.g. within six weeks.

As a management assistant or business process assistant, you will provide administrative support to management and staff in their task of fulfilling the ECB’s mandate of maintaining price stability and supervising banks. You will be working in a dynamic environment with colleagues from all over Europe.

Your role As a management assistant or a business process assistant you will:

  • provide administrative and secretarial support to management and staff, which may include assisting with the running of various business processes (e.g. monitoring central inboxes, creating and coordinating workflows, and liaising with internal and external stakeholders);
  • organise meetings, conferences and events;
  • manage calendars and business travel arrangements, help process expenses claims and maintain stocks of office supplies;
  • support your unit’s financial and budgetary processes and contribute to budget planning;
  • assist with human resources processes for your unit (e.g. recruitment, on-boarding and training);
  • manage your unit’s document management workspace.

Qualifications, experience and skills Essential:

  • relevant vocational training or equivalent in accounting, public administration, business administration, law, human resources, finance, information technology, communications or another relevant field (see How you can join us for details on equivalences);
  • in addition to the above, a minimum of two years’ professional experience (other than as a trainee or intern) in providing administrative or secretarial support to managers and/or their teams;
  • experience in organising events, conferences or high-level meetings;
  • advanced user knowledge of MS Word, PowerPoint and Outlook, and intermediate knowledge of Excel;
  • availability to start working in Frankfurt am Main, Germany at short notice;
  • an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.

Desired:

  • experience of working in a large organisation in a fast-paced international environment;
  • experience of using document management systems, and budgetary and human resources management support systems.

Further information The contracts offered will be short-term, the appointment being for between three and 12 months as of the exact starting date of the selected person.
