Who You'll Work With
As a Facility Management Coordinator in our Copenhagen office, you will play a key role in making our century-old historic building welcoming and efficient for your colleagues. You will handle various tasks, including maintenance, administrative work, and clerical duties, to ensure the functionality and appearance of the office. You will work closely with our Office Services assistant, reception, and a team of student workers.
Your impact within our firm
You will coordinate the upkeep of our office space by supervising external contractors and vendors, performing quality control inspections, and managing the use of physical space.
This includes assisting with space planning, seating assignments, and regularly updating floor plans. You will also oversee outsourced building services like kitchen, cleaning, taxi services, and property management, ensuring everything runs smoothly.
In addition, you will handle conference room setups and audio/visual needs, maintain and order office supplies, and process purchase orders as needed. You will plan and execute office events, working with committees, travel staff, hotels, and vendors. Acting as a liaison with building management for facilities administration, such as heating, ventilation, air conditioning, electrical, and lighting, will also be part of your role. You'll provide direct assistance and backup support to the department manager and teammates across various office services areas.
Your qualifications and skills
- Bachelor’s degree preferred
- 3+ years relevant experience, ideally in a professional services environment
- Fluent in Danish and English
- Excellent organizational and project management skills
- Ability to manage multiple priorities
- Proven effectiveness working with vendors and suppliers
- Strong communication and negotiation skills
- High quality and service standards
